How to Prepare
What You'll Need to Do to Get Ready for Loyola's Move to Microsoft Exchange
In general, work on the email upgrade is happening behind the scenes. There are, however, a few things you can do to ensure your transition goes smoothly.
Faculty and Staff
Mark your calendar for the migration weekend. On Friday, May 17, around 6 p.m., Loyola will stop routing incoming to GroupWise. All mail received after this time will be delivered via Outlook. You’ll have access to your new account within a few hours, though some features and messages may still be in transition, and you can begin reconnecting your mobile devices (see ReconnectingYour Mobile Devices for instructions).
Leave your machine on the week of May 13 and over the migration weekend. We'll be sending out some behind-the-scenes updates this week to all Loyola-imaged desktop machines. Please leave your machine so these updates can be processed. You do not need to be logged in, just powered on.
Be sure you understand what is and isn't being moved as part of the migration. Just about everything in your current mailbox and calendar, as well as the last two years of archived messages, will be moved automatically to Outlook. But there are a few exceptions, as noted in the table below.

*Archived messages dated on or after March 31, 2011 will be migrated automatically. To learn more, see the More About Your Archive page.
Learn about the new programs. The move from GroupWise to Outlook should be relatively smooth, but we've posted a number of introductory resources on the Documentation and Training page to help you become familiar with the look and feel of the new software.
Sign up for a class. Classes began in April and will continue through early June. Information and registration is available on the Documentation and Training page. Sessions will be offered again in August as part of the regular schedule of technology workshops.
Make sure your archive is being saved to the M: drive. If yours isn't, please contact the Help Desk at 773.508.4487 or helpdesk@luc.edu. If you’re not sure where your archive is being saved, select Tools from the main GroupWise menu, choose Options, then Environment. Your archive directory will be listed on the File Location Tab.
Starting April 8, don't add, delete, or change anything in your GroupWise archive. We're turning off the auto archive and auto delete features this week to prepare your archives for the move. You’ll still have access to everything that’s currently in your archive while these preparations are being made, but it's important that you don't manually add or delete any messages to the archive, or change your archive’s folder structure. Such changes will not be permanent and could result in lost messages.
Students
Mark your calendar for the migration weekend. On Friday, May 17, around 6 p.m., Loyola will stop routing incoming to GroupWise. All mail received after this time will be delivered via Office 365. You’ll have access to your new account within a few hours, and can begin reconnecting your mobile devices (see ReconnectingYour Mobile Devices for instructions).
Think about what, if anything, you want to move from GroupWise to Office 365. Nothing from your GroupWise account will be moved automatically. You can, however, manually migrate messages and contacts.
| Messages | Old messages can be imported into the new system after the transition; please see the PDF Moving GroupWise Messages to Office 365. |
| Contacts | Moving contacts to the new system is a two-step process, the first part of which should be completed before 6:00 p.m. on May 17; please see the PDF Moving GroupWise Contacts to Office 365. |
| Calendar | Elements from your GroupWise calendar cannot be migrated. If you have appointments you'd like to include on your new calendar, we recommend printing your existing calendar and manually re-creating them in Office 365. |
| Other | All other settings, such as rules and signatures, will need to be re-created in the new system. |
Learn about the new programs. The move from GroupWise to Office 365 should be relatively smooth, but we've posted a number of introductory resources on the Documentation and Training page to help you become familiar with the look and feel of the new software.
View the webinars. We held two student webinars in late April. Recordings of these sessions are available online at Office 365: Introduction to Outlook and Lync and Office 365: Introduction to SharePoint and SkyDrive.
For Everyone, After the Upgrade
Reconnect your mobile devices. If you've established a connection to your mailbox through a mobile device or laptop (using ActiveSync), you'll need to reset it once GroupWise is disabled. Step-by-step instructions are available on the Reconnecting Your Mobile Devices page.
