PC Refresh - Transferring Files from Your Old PC to Your New PC
The process of saving files from your old computer to the replacement computer consists of two steps. First, you need to save the files stored on your hard drive (C: and/or D:) to the network space provided by ITS, your private directory (U:), or to your department's shared drive (N:). Personal files should not be saved to the U: or N: drive. Once you've saved your files in a second location and your new computer is set up, you're ready to save those files to your new PC. Directions for both of these steps, including special instructions for your GroupWise archive and Bookmarked (or Favorite) Web sites, can be found below.
If you have a significant amount of data, please allow 1-3 hours for this process. Please contact your department’s PCR Liaison or the help desk (4-4444) if you have any questions or have problems.
Copying Files From Your Current PC
Choose where you will be backing up your data. If you will be backing up your data to your private network drive, your department’s network drive, or a USB flash drive open “My Computer” and double click on that drive. In the upper, right-hand corner under “File and Folder Tasks,” select “Make a new folder” and name this folder “(your last name) backup.” If you are using the network space provided by ITS, please follow the directions provided in the e-mail you received.
If you will be saving your data to a CD, please check the “Burning data to disc” section located at the end for assistance.
#1. Data Files:
1. Open “My Computer.”
2. Choose the drive where your files/data reside (C: and/or D:). DO NOT copy the folder “My Documents” on the desktop. This is only a shortcut and not the actual folder. Within “My Computer,” go to the D: drive and open up the folder “userdata.” This is where all information stored within “My Documents” can be located.
3. Right-click the file you want to copy and select “Copy.”
4. Within the “(your last name) backup)” folder, right click and select “Paste”:
Tips:
· Select multiple files in a folder by holding down the Ctrl key and clicking each file.
· Please ask your PCR liaison if you are not sure which drive is the correct one to use.
· Select a folder and all its contents by copying and pasting the folder.
· Select all the files in a folder by highlighting the first file, holding down the Ctrl key and pressing the A key.
· If you can not locate files, go to Start – Search – For Files or Folders. To search for all word files, type *.doc under the “All or part of the file name:” section and select “Local Hard Drives (C:; D:). Check the end of this document for common file extensions for Word, Excel, etc.
#2. GroupWise Archive*:
1. Right-click the Start button.
2. Click Explore.
3. In the left pane of Explorer, click the C: drive. (For some users, this may be located in the D: drive and the userdata folder)
4. In the right pane of Explorer, right-click the ofxxxarc folder (DO NOT open this folder and attempt to only copy the individual files…your archive must be copied as an entire folder).
Note: The xxx is different for each user. To check for your unique three character code, log into GroupWise, click Help, and select About GroupWise. Your three character archive name is in parenthesis to the right of your username.
5. On the pop-up menu, click Copy.
6. At the top of the Explorer window, choose the U: directory (your personal directory), the N: directory (your shared departmental directory), or USB flash drive from the pull-down menu.
7. Right-click in the right pane of Explorer.
8. On the pop-up menu, click Paste.
*Please make sure to restore your archive as listed below before you login to GroupWise on your new computer!
#3. Favorites or Bookmarks
Internet Explorer Favorites or Netscape Bookmarks:
Open the browsers that you use to surf the internet. Click on File -> Import and Export… Click Next and select Export Favorites/Bookmarks on the following screen. Click Next twice and select Browse. Navigate to the drive and/or folder where you are saving your documents and Groupwise archive. Click Save and then click Next after you have located the proper place. Click Finish.
Mozilla Firefox Bookmarks:
For Mozilla Firefox favorites, open the Firefox browser. Click on Bookmarks -> Manage Bookmarks. In the new window, click on File -> Export… In the new window, use the drop down menu at the top to navigate to the folder where the bookmarks will be saved. Click Save to finish.
Saving Files to Your New PC
#1. Data Files:
All data files moved to replacement machines should be stored in the D:\Userdata folder.
1. Right-click the Start button.
2. Click Explore.
3. In the left pane of the Explorer window (the Folders column), click the drive where you saved your data files.
4. In the right pane of the Explorer window, select the files you want to copy.
5. Copy and Paste the files into the “userdata” folder under the D: drive in the left pane of the Explorer window.
#2. GroupWise Archive:
1. Right-click the Start button.
2. Click Explore.
3. In the left pane of the Explorer window, click the directory where you stored your GroupWise Archive file.
4. Right-click the ofxxxarc folder.
5. On the pop-up menu, click Copy.
6. At the top of the Explorer window, choose the D: directory from the pull-down list.
7. Double-click the userdata folder.
8. Right-click in the right pane of the Explorer window.
9. On the pop-up menu, click Paste.
10. In GroupWise, choose Tools | Options from the menu bar.
11. Click Environment, then click the File Location tab.
12. In the Archive directory: field type D:\Userdata.
Your GroupWise Archive folder is now stored on the hard drive and is accessible through GroupWise on your new PC.
#3. Favorites:
Internet Explorer Favorites or Netscape Bookmarks:
Open the browsers that you use to surf the internet. Click on File -> Import and Export… Click Next and select Import Favorites/Bookmarks on the following screen. Click Next twice and select Browse. Navigate to the drive and/or folder where you exported your favorites. Double click on the “Bookmark.htm” file, and then click Next. Click Finish.
Mozilla Firefox Bookmarks:
For Mozilla Firefox favorites, open the Firefox browser. Click on Bookmarks -> Manage Bookmarks. In the new window, click on File -> Import… and select “From file.” Select Next and in the new window, use the drop down menu at the top to navigate to the folder where the bookmarks were saved. Double click the file and your bookmarks will be imported.
To copy files and folders to a CD
1. Insert a blank, writable CD into the CD recorder.
2. Open “My Computer.”
3. Click the files or folders you want to copy to the CD. To select more than one file, hold down the CTRL key while you click the files you want. Then, under File and Folder Tasks, click Copy this file, Copy this folder, or Copy the selected items.
4. In the Copy Items dialog box, click the CD recording drive, and then click Copy.
5. In My Computer, double-click the CD recording drive. Windows displays a temporary area where the files are held before they are copied to the CD. Verify that the files and folders that you intend to copy to the CD appear under Files Ready to be Written to the CD.
6. Under CD Writing Tasks, click Write these files to CD. Windows displays the CD Writing Wizard. Follow the instructions in the wizard.
