Activity Planning

Activities can be the hallmark for Registered Student Organizations (RSO). With over 200 registered student organizations Loyola University Chicago provides a vibrant, diverse, and robust series of activities. There is a lot of hard work and dedication required to make any activity successful. It is the responsibility of every RSO to fully understand all activity polices and requirements.

Registered student organizations must register all activities with SAGA through the Activity Request Form. Activities DO NOT include general or e-board meetings.


Non-SAF Funded Activity Requirements

    • Activity Request Forms for unfunded events must be submitted at least 2 weeks prior to the event date.
    • If your proposed activity involves potential risk issues, you must fill out an Risk Assessment Worksheet  as well. If the worksheet identifies a need to proceed with caution or to stop RSOs must meet with a SAGA representative.
    • Activities DO NOT include general or e-board meetings.
    • Fundraisers, information tables, and activities open to non-members are considered RSO “activities.”
    • All activities must adhere to University and/or SAGA policy and federal, state and local laws.
    • The activity must fall between the first day of class and the last day of class during the semester.
    • All revenues generated from activities must be deposited into your student organization’s University account (2510 account).

SAF Funded Activity Requirements

    • For the submission deadlines for activities funded through the SAF, please visit the Funding section. Deadlines are different for SPOT funded programs and Semester Budget Request programs.
    • If your proposed activity involves potential risk issues you must fill out an RSO Risk Assessment Worksheet as well. If the worksheet identifies a need to proceed with caution or to stop RSOs must meet with a SAGA representative.
    • Activities DO NOT include general or e-board meetings.
    • Fundraisers, information tables, and activities open to non-members are considered RSO “activities”
    • All activities must adhere to University or SAGA policy and federal, state and local laws.
    • The activity must fall between the first day of class and the last day of class during the semester. No funding is available for events over breaks, holidays, or finals.
    • The activity must be planned primarily for Loyola University Chicago undergraduate students and be open to the general University community.
    • The activity is appropriate based on the mission and goals of the organization.
    • All promotion materials must include that the event is sponsored or funded by the Student Activity Fund (SAF).
    • The activity must be submitted to the OrgSync Calendar at least one week prior to the activity.
    • All contracts, check request, credit card requests, etc. must be submitted by the appropriate deadlines.
    • All receipts must be submitted within 48 hours of the activity. In the event that the activity falls on a weekend, all receipts must be submitted by 5pm on the next business day.
    • All revenues generated from activities must be deposited into your student organization’s University account (2510 account or 6140 for SAF funded fund raising activities).
