Year End Reminders

As the calendar year ends, please keep in mind the following important reminders.

Personal Information Review
Don’t forget to double check your personal information for your W-2! Using your most recent pay stub in Employee Self-Service, please review the spelling of your name, address and last 4 digits of your SSN.  
If anything needs to be updated, please use the following forms.
Review Your Federal, State Tax Withholding, and Home Addess Information
You can view your current withholding elections using Employee Self-Service.
You may update your Federal tax withholding in Employee Self-Service.
If you have moved in 2023 or plan to move in 2024, ensure that your home address has been updated in Employee Self-Service.
Employee claiming Exempt from Federal Tax Withholding
For those claiming exempt status on their Federal W-4, if you would like to maintain he same tax status, kindly submit a new W-4 form to Human Resources on or before February 15th, 2024
Employees working remotely in States outside of Illinois
We recommend that you review your state’s regulations regarding state withholding requirements.  State withholding forms outside of Illinois can be found here. Please review the “Out of State Employees” website for additional information.
To make any changes in your state withholding elections, complete the appropriate state tax withholding form and submit to Human Resources using Loyola Secure Transfer.
W-2 Information
If you haven’t already done so, you can sign up to receive your W-2 electronically.  Read about the benefits of receiving your W-2 electronically and find step-by-step instructions for how to sign-up by following the link here:
2023 W-2’s will be issued by the IRS deadline of January 31, 2024.  If you do not elect to receive your W-2 electronically, or you are no longer an active employee, your W-2 will be mailed to the address on file with Human Resources.  Please allow 1-2 weeks for delivery via the USPS.
*Note - W-2s cannot be delivered to the Loyola mailroom for people with On Campus addresses. Please be sure to update your address in Employee Self-Service to a valid permanent address by December 31, 2023 to avoid delays.
We will begin processing W-2 reprints on Monday, February 5thIf you do not receive your W-2 by February 9th, you may fill out, sign, and email back a completed W-2 request form, which is available on our webpage. Once we have the form, we will work on processing the request within 5-7 business days, but not before February 5, 2024.
Nonresident Alien Information
If you are a Foreign National (NRA) Faculty, Staff or Student who is working or receiving taxable fellowship or award payments from the University, please login to the GLACIER System to review and update your personal information if anything has changed since your last login. If you are updating GLACIER for a VISA or immigration form extension, please send those documents to Human Resources via email to hr-payroll-processing@luc.edu using Loyola Secure Transfer.
