Identity and Access Management Enhancements

Latest update: February 11, 2025

Chevron

Objective: To ease administrative overhead by improving Loyola University's system for managing user access to various applications and services.

Description: We aim to upgrade our current Identity and Access Management System to make it more efficient and adaptable. As staff and students take on new roles or responsibilities, the system will automatically update their access to the necessary applications and services. This means less manual work for administrators and a smoother experience for users, reducing the risk of unauthorized access and boosting productivity.

  • Fall 2025 - NAP Application Replacement Complete

CampusGroups Implementation

Latest update: February 11, 2025

Objective: To improve the management and engagement of student organizations, sports clubs, and campus ministry at Loyola University.

Description: The CampusGroups platform will be used by student organizations, sports clubs, and campus ministry. The platform will streamline event registration, track student involvement, and manage financial requests for student organizations. This will make it easier for students to participate in campus activities and for administrators to manage these activities efficiently.

Telephone System Replacement

Latest update: February 11, 2025

Objective: To improve communication across the University by upgrading and unifying the telephony services across our campuses.

Description: This project involves assessing and upgrading the phone systems at Loyola's Lake Shore, Water Tower, and Health Sciences campuses. Once completed, all three campuses will use a single, unified telephony system with the same features and functionality available to everyone. This will improve communication and ensure consistency across the university.

  • Winter 2025-2026 - LSC/WTC Completion

TDX Implementation

Latest update: February 11, 2025

Objective: To improve ITS service management and user experience.

Description: We're in the process of implementing TeamDynamix (TDX) as the new ITS ticketing system. This system includes two major components. First, we will roll out the Service Catalog and Knowledge Base that list all the services we offer with additional information on each service. Second, we will implement a new ticket system linked to the Service Catalog. This will allow users to easily search for the service they need and create a related ticket with just one click. The new system will make it simpler for users to get the help they need and for us to manage service requests efficiently.

Enterprise Research Administration System

Objective: To enhance research efforts across Loyola by implementing a new, streamlined system.

Description: This project involves implementing Cayuse as Loyola's new Electronic Research Administration (ERA) system. The new system will make managing research projects more efficient, secure, and user-friendly. It will also ensure that our processes are in line with those of our research sponsors, making collaboration smoother and more effective.

  • Fall 2025 - Phase 1 module implementation
  • Fall 2026 - Phase 2 module implementation

Enterprise Resource Planning (ERP) Replacement

Latest update: February 11, 2025

Objective: To modernize Loyola University's Enterprise Resource Planning (ERP) system (currently known as Employee Self Service or LAWSON) so it can better meet the university's growing needs.

Description: This project involves identifying the requirements, selecting a tool, and implementing a new, modern ERP system. The new ERP system will enhance our ability to manage key administrative processes, including Human Resources (HR) and Finance. By streamlining HR processes, we can improve employee management, payroll, and benefits administration. In Finance, the new system will help us manage budgeting, accounting, and financial reporting more efficiently. Overall, this modernization will ensure that our administrative processes are up-to-date and capable of handling future growth, supporting the university's expanding needs.

Objective: To improve the community's technology experience by creating a personalized application portal for all members of Loyola University.

Description: Providing a streamlined technology experience to the Loyola community is central to the ITS mission. This project will develop a university-wide application portal that provides a tailored experience for each student, faculty member, and staff member. The portal will deliver relevant content and resources based on the user's role, making it easier for everyone to access the information and tools they need. This personalized approach will enhance the overall user experience and improve efficiency across the university.

PeopleSoft MFA Implementation

Latest update: January 27, 2025

Objective: To enhance the security of Loyola University's student records by implementing Multi-Factor Authentication (MFA) in the PeopleSoft system.

Description: As cybersecurity threats become more common and complex, we need to keep up in order to keep out community safe. This project involves adding Multi-Factor Authentication (MFA) to our PeopleSoft Student System. MFA adds an extra layer of security by requiring users to verify their identity through multiple methods before accessing the system. This will significantly reduce the risk of unauthorized access and protect student records from potential hacks. By enhancing security, we aim to safeguard sensitive information and ensure the integrity of our student data.

PeopleSoft Refresh

Objective: To improve the student experience by evaluating and enhancing Loyola University's Student Information System.

Description: This project involves analyzing LOCUS, our PeopleSoft-powered Student Information System, to identify areas for improvement. By thoroughly reviewing the system, we aim to find opportunities to make it more efficient, user-friendly, and effective in meeting the needs of students, faculty, and staff. The goal is to ensure that our Student Information System continues to support the university's operations and growth effectively.
