Auto-Archiving for Exchange Online Mailboxes
December 2025
During the winter break, we will be enabling the Exchange Online Auto-Archiving feature for all user mailboxes within the University. No action is required and the process will be automatic and seamless. This will afford greater ease and efficiency with mailbox management while ensuring long-term access to older emails.
What’s happening:
Exchange Online's auto-archiving will automatically move older emails (typically those older than 2 years) from your primary mailbox to an online archive mailbox.
Why this change is being made:
This update is part of our ongoing efforts to improve email system performance, manage mailbox sizes more efficiently, and ensure long-term access to your older emails without impacting day-to-day operations. By enabling auto-archiving, we can reduce the amount of overall storage in-use within our Microsoft 365 infrastructure as archived email does not count against Loyola’s storage quotas.
What this means for you:
No action is needed from you; the process is automatic and seamless.
- You will see a new folder called “In-Place Archive” in Outlook or Outlook on the web.
- Emails older than the retention threshold will be moved automatically to the archive.
- Archived emails remain searchable and accessible just like those in your regular mailbox.
