ITS Office Hoteling Spaces
This page describes policies and step-by-step instructions for use of the ITS Office Hoteling Spaces.
Policies: Access to reserve ITS Office Hoteling Spaces is limited to ITS staff only. ITS Staff may reserve up to 90-days in advance, up to 5 active reservations at a time, but are limited to 1 room per reservation. Overlapping reservations are not permitted. Individual reservations cannot exceed 18 hours, however the default reservation start and stop are common business hours (8:30am-5pm) for ease of choosing future dates.
Tips: Use the "Timeline Scheduler" button when navigating resources to see spaces that are blocked or in use when searching for a reservation. If you find a particular desk or space you prefer, consider "Copying" the reservation to save time with subsequent reservations of that same space. The bottom of the page has more information for Edit, Cancel, and Copy Reservations and Reservation Errors.
Reservation Instructions
1) Login to WebCheckout. Navigate to WebCheckout (luc.webcheckout.net) and login using your Loyola Email and Password. This system is connected to Microsoft's Single-Sign On, so if you're logged into other systems like Outlook or Sakai, you don't need to sign-in again!
2) New Reservation. Click New Reservation on the left-hand side menu, below the Cart icon.

3) Selecting the Checkout Center. You'll be prompted to select a Checkout Center. The *ITS Office Hoteling Spaces is named to be the first one listed, so you don't even need to adjust this field. Click OK to continue along.

4) Setting Reservation Start and End Time. When creating a new reservation, first set your reservation duration by adjusting the dates and times for the Start Time and End Times. By default, it sets these to the next day and the duration of 8:30am-5pm. If you need to select a date further in the future, don't forget to edit both fields and save before continuing. Press the green (Checkmark) All button to save all changes for your reservation duration.

5) Open Catalog. Now click the Contents (Book) Icon to review the catalog of resources/rooms.

6) Select the campus. In this example, we'll select LSC, Granada Center.
7) Select location. Toward the bottom of the dialog box, there are categories for different rooms with office/cubicles available to reserve. In this example, we selected Granada 220 Desk with Computers.
8) Timeline and viewing availability. Click the "Timeline" button to review all the desks in this space and their current and upcoming usage.
9) Timeline View. From the Timeline view, you can see the next few days ahead and blocks of time in color indicating active use, reservations or other indicators where exact rooms may not be available. In this image below, we see the 4th desk has blue bar for the date we wish to reserve, so to avoid any conflicts. We'll click "Close" to exit the timeline view, to return and select either Desk A, B, or C.
10) Selecting a space. After reviewing the Timeline Scheduler to identify which rooms are available at this location for the time needed, click the Green + Cart icon next to the first Desk to add the selected resource to your cart.
11) Close the Catalog. Click Close to close the catalog, after you have reviewed and added the resource you wish to reserve.
12) Save your reservation. Provided there are no errors, you will see a green bar to click the Save icon to save your reservation. Now you're all set! You will then receive an email confirmation after saving, a reminder before and a notice after your reservation concludes.
Reservation Errors
If you see a red "Reservation has errors" banner preventing you from saving, you can click to learn more.
An Allocation Conflict means someone else has the space reserved for all or some of the time of your reservation. Remove that resource and return to add a new space. As a tip, click the "Timeline Scheduler" button when navigating the spaces to see what spaces are actively reserved.
A Resource Type Limit error will occur if you are trying to reserve more than 1 resource/desk at a time, or an overlapping timeframe. Make sure your cart only has 1 resource in it. Or make sure the date/time isn't overlapping an existing reservation you already have scheduled.
Edit, Cancel, and Copy Reservations
You can also return to the system to review your past or upcoming reservations. This can be helpful to Edit or Cancel future reservations. You can even Copy a reservation to quickly reserve the same space later in the future. Click Copy CK-###### to begin this and set new future dates then Save to save this as a new reservation.
