Conference Services Department  

Guest Services Coordinator (LSC) 

The Conference Services Department is gearing up for our 2022 Summer Conference season. Both campuses will be hosting numerous groups with lodging needs.  The Guest Services Coordinator is responsible for creating and ensuring a welcoming and exceptional experience for guests.  

Responsibilities: 

  • Process check-ins and departures for guests. 

  • Assist with rooms/space make up/maintenance while groups are on campus and between transition from one group to the next. 

  • Communicate room turnovers to team in order to make sure the rooms are cleaned and ready for the next guests/groups. 

  • Conduct room inspections to make sure the rooms are being cleaned as instructed. 

  • Prepare rooms for arrivals.  This includes making beds, vacuuming, and straightening rooms. 

  • Inventory furniture, equipment, and room condition on an on-going basis during the summer program. 

  • Report damages when they occur. 

  • Handles room reservations, cancellations, and guest no-shows. 

  • General administrative duties as related to the front desk. 

  • Manages the routing of telephone, mail, email, and other messages guests. 

  • Monitors access to the res halls through the entry points/gates to ensure only authorized individuals/guests access the hall.  

  • Ensures guest requests and needs are correctly filled and promptly completed. 

  • Maintain the key inventory and report any lost keys or prox cards. 

  • Resolves problems and concerns quickly, efficiently, and courteously. 

  • Serves as a guide to guests navigating campus. 

  • Undertake special projects and other assignment as needed to provide the best quality service. 

  • Proactively anticipates guests needs to deliver a high level of customer service. 

  • Communicate information and details about groups, reservations, and other activities, to ensure staff are well-informed and deliver a consistent customer service level. 

  • Provide concierge services to guests, including assisting with domestic and international travel arrangements to/from the airport (taxi, uber, lyft services) 

  • Provide information and recommendations regarding local/Chicagoland area including local features, attractions, shopping, restaurants & dining, or recreational/sports activities. (based on approved information provided by supervisor)

  • Stays current on conference Rules & Regulations, Employee Policies & Procedures.  

Expected Work Hours and availability: 

  • All front desks are open 24 hours a day, seven days a week. 

  • Consistent availability from week to week. 

  • Open to a flexible schedule as needed based on business needs, including mornings, evenings, overnights, holidays, and weekends. 

  • Availability to work 32 – 40 hours per week, including nights, weekends, and holidays.  Extra hours may be necessary including overnight shifts, split shifts to accommodate check-ins/check-outs. 

  • Enrolled, as a student at Loyola University Chicago.  Students must be enrolled in Fall 2022 classes to apply.   

  • Available during employment dates: May 14 – August 7, 2022. 

  • Attend all training sessions and scheduled staff meetings. 

Note: On campus housing for staff is required (condition of employment) to ensure a fully functioning 24/7 operation.  For this reason, the Guest Service Coordinator position will not be charged for summer lodging. Additional information will be provided.

The Conference Services Department is gearing up for our 2022 Summer Conference season. Both campuses will be hosting numerous groups with lodging needs.  The Guest Services Supervisor is responsible for creating and ensuring a welcoming and exceptional experience for guests while managing the coordinating, Guest Services Team. 

Job Summary:  

Responsible for performance of the guest services staff. Problem-solving and decision-making abilities are needed for this position Must be customer service oriented and dedicated to improving residents’ experience. 

Responsibilities: 

  • Familiar with the daily job tasks to bring consistency to the day-to-day operations. 

  • Create and maintain monthly staffing schedules and performance reviews. 

  • Assist with weekly staff meetings. 

  • Communicate daily information/lodging changes to staff

Campus Event Coordinator (LSC) 

Responsibilities: 

  • Assist with coordinating room/space setups both indoors and outdoors on campus. 

  • Under the direction of the Event Supervisor and Manager, assists with the coordination of events, including reserving space, coordinating logistics and spaces with caterers, arranging transportation and audio/visual equipment, tracking attendees, and providing updates of attendance to the team. 

  • Provide onsite daily event support including setups and breakdowns. 

  • Coordinate logistics and catering setup for events. 

  • Assists with identification and resolution of event and program needs, using existing procedures to solve routine problems as they arise. 

  • Compile data to be used in event and program evaluation. This information contributes to improvements by implementing ideas as they are identified, with general direction from others. 

  • Provides general event logistics based on expected attendance and visibility. 

  • Utilize event system 25LIVE, daily reports and conference software to support events. 

  • Provides direction regarding repairs, updates, upgrades that impact events, and event management recommendations. 

  • Provide basic AV/tech support for the events. 

  • Executes day-to-day event logistics, and other moderately complex assignments with some guidance from supervisor 

  • Make procedural and operating decisions based on the knowledge of applicable policies and procedures in conjunction with other university service providers and campus partners. (Ex. Parking information, campus lodging opportunities, etc.)  

  • Provide clients/groups with event and campus resource information 

  • When possible, follow detailed event diagrams to setup rooms/spaces and AV equipment. 

  • Provide on-site coverage while events are occurring when needed.  

  • Move equipment to various locations on campus to support events and AV needs. 

  • Monitor entry points/gates based on events in campus buildings. 

  • Performs other job-related duties as assigned. 

Additional Essential duties: 

  • Meet regularly with other university service providers (catering/dining services, campus safety, maintenance/housekeeping, mangers, etc.) to review and share information about upcoming events.  May also include post-event evaluations, and recommendations for the future.

Campus Event Supervisor (LSC) 

Responsibilities: 

  • Lead on-site operations on events including logistics, event staffing schedules and training. 

  • Provide ongoing and timely communications with event coordinators regarding each event's structure and needs. 

  • Assist with managing event setup/breakdown timelines. 

  • Compile post event information to assist with future event management efforts.   

  • Utilize event system 25LIVE, daily reports and conference software to support events to assist with day-to-day operations. 

  • Provides direction regarding repairs, updates, upgrades that impact events, and event management recommendations. 

  • Provide basic AV/tech support for the events. 

  • When possible, provide detailed event diagrams to setup rooms/spaces and AV equipment for coordinators, and when needed campus partners. 

  • Lead a team (day shift and night shift) to deliver high quality event services. 

  • Track daily progress across multiple events. 

  • Organize resources for to support events. 

  • Ensure daily processes and procedures are followed. 

  • Manage, track and report day of resources including AV/ tech resources. 

  • Performs other job-related duties as assigned.
