Zoom

Zoom is a cloud conferencing solution that can be used for small group sessions or large administration meetings all within one easy-to-use platform. Host and participants can access Zoom through any laptop or mobile devices at https://luc.zoom.us/, which makes Zoom an excellent solution for working in the office or on the go. This platform allows for robust audio, video, files, and screen sharing. It also fosters interactive with collaborative editing, polling, and breakout rooms. Hosts can record meetings and make them available to participants, or post them as public resources. All active faculty, staff, and students have the ability to host their own meetings.


Zoom Updates

It is essential to check and install Zoom client updates with regularity to be compliant with Zoom's updates.  You can download and install the latest Zoom client at https://zoom.us/download.  You can also check for updates if you have the Zoom client already installed.  First, sign in via SSO in the Zoom client.  Then, click your profile picture (located in the upper right next to the search box), and select Check for Updates.  If there is a newer version available, Zoom will download and install it.

Cloud Recording Retention Policy

Loyola adopted a new cloud recording retention policy on October 1, 2020 in which all cloud recordings will now be retained for 180 days. Cloud recordings older than 180 days will automatically be moved to a 30-day recycle bin. An email notification from Zoom will be sent to the cloud recording owner 7 days prior to permanent deletion from the recycle bin.

If neither is enabled, Zoom will enable a Waiting Room for your meetings.

No, your settings will remain the same for your current selection.

Any webcam or microphone will work with Zoom. For recommendations on webcams or microphones, please visit our Purchasing Equipment web page. 

If you already have a Passcode or Waiting Room on, there will be no change to how you schedule meetings.

If Passcodes are added to existing meetings, calendar invites need to be resent to include the Passcode. If Passcodes are added to new meetings, the Passcode will automatically be embedded into the meeting link (unless you have specifically disabled this feature)

Enabling Waiting Room for new or existing meetings does not affect calendar invitations.

Making Your Zoom Meeting More Secure

Any webcam or microphone will work with Zoom. For recommendations on webcams or microphones, please visit our Purchasing Equipment web page. 

If you have selected Passcodes as your security method, a Passcode will be embedded into the meeting link automatically (unless you have specifically disabled this feature). With a single click, your meeting participants can join the meeting. If someone manually enters the meeting ID, they will also need to manually enter the Passcode.

Making Your Zoom Meeting More Secure

Your security selection for meetings will not affect phone Passcode requirements unless you select “Require a Passcode when joining by phone.”

For meetings with Waiting Rooms, participants will dial in as they normally do. They will hear a prompt that they are in the Waiting Room, and the host will have to admit them.

If the meeting has Waiting Rooms enabled, and ‘join before host’ is disabled, then the host will be able to start the meeting and disable the Waiting Room by entering their host key. The host will hear audio prompts indicating that the Waiting Room has been disabled, all attendees will be admitted, and they can lock or unlock the meeting by pressing *5.

A Waiting Room will be added to all meetings. You will have to admit guests into the meeting from the Waiting Room. You can customize who is put in the Waiting Room in your settings.

Yes, you can sign into your account at luc.zoom.us with your Loyola UVID and password.  In the “Meetings” tab, you will see a list of meetings that have been scheduled without a Passcode. This is indicated with a red warning icon.
